Switching Design Subscription Providers: Asset Migration Guide

Quick Answer

Before you cancel anything, collect four things: editable source files for every approved asset, the full logo variant set, a written brand specification, and documentation for every font and stock licence in your files. Fonts and stock images are licensed to whoever bought them, so they do not transfer with the artwork. Request everything while your account is still active, because access usually ends at cancellation. Then run a 30-day overlap with your new Unlimited design subscription so the old provider is still reachable if a file is missing.

Why switching goes wrong

Small business owners rarely leave a design provider over quality. They leave over slow turnaround, rising prices or shrinking scope. The switch itself is where the damage happens.

The pattern repeats. You cancel, the dashboard closes, and three weeks later you need the layered logo file for a trade show banner. All you have are PNGs from an email thread.

The 10-point migration checklist

Work through this while your current account is still live, whether you are moving to an Unlimited designing subscription or to an in-house hire.

  1. Editable source files for every approved asset. Native layered documents in AI, PSD, INDD, Figma, PowerPoint or Keynote. Exported PDFs and JPEGs are for production, not editing.
  2. The complete logo variant set. Vector master, web vector, high-resolution raster and a transparent version, each in full colour, single colour and reversed. Single colour is the one most often missing.
  3. Print-ready files. CMYK PDFs with bleed and crop marks, fonts embedded or outlined, spot separations where spot inks are used.
  4. Linked images at full resolution. A layered file pointing at missing links is not a working file.
  5. A written brand specification. Colour values in every system, typefaces and licence status, logo clear space and minimum size, paper and finishing notes.
  6. Font licence documentation. Named licence holder, seat counts, webfont pageview limits, embedding rights.
  7. Stock asset records. Platform, licence tier, licence ID, and model or property releases.
  8. Icon and mockup terms. MIT or ISC sets need their licence notice carried across, and many mockups allow client presentations but prohibit redistribution.
  9. AI-generated asset documentation. Tool, prompts, human edits, export date. US Copyright Office guidance says purely machine-generated output may not be protectable, so record the human contribution.
  10. Archive the package twice in your own storage before the old account closes.

The licence traps most teams miss

Your old provider's font licence covers their use, not yours, and does not travel with the artwork. Three options: buy it in your own company name, switch to an open-licence typeface, or outline the logo, which fixes the logo but not live text elsewhere.

Stock imagery is the same. It is licensed to a party, not transferred with the file, and terms change, so archive a snapshot rather than a link. This is general guidance, not legal advice.

Active vs unlimited requests

The term small business owners misread most often when comparing one unlimited design subscription against another.

Unlimited means no cap on requests you add to the queue each month. Active means how many the team works on at once.

PitchWorx runs two active requests. When one is delivered the next starts, so 25 queued requests move through two at a time. Check this before you switch: the active number, not the word unlimited, tells you real monthly output.

How onboarding works at PitchWorx

PitchWorx started in 2012 and brings 13 years of experience in the design industry, with over 150,000 slides designed for more than 500 brands including Wipro, Samsung, Honeywell, PepsiCo and Caterpillar, and ISO 27001:2022 certification. Migration runs like this:

  1. 7-day free trial. Send a real brief before you cancel anything elsewhere.
  2. Onboarding week. The team rebuilds your brand system from what you collected: colours, type, templates, masters.
  3. Submit requests through the dashboard, no limit on team members.
  4. Most requests return in about 72 hours, AI agents on the first pass, senior designers reviewing every file.
  5. You own the editable source files in PowerPoint, Keynote, Google Slides or Figma.
  6. Cancel anytime, no contract, everything delivered stays yours.

Point 5 is what to check against whoever you are leaving. If source file ownership is not in the agreement, this Unlimited designing subscription migration will repeat in two years.

Service categories covered

One plan covers eight categories:

Consolidating these into one Unlimited designing subscription removes the main cause of asset sprawl: four providers each holding part of your brand. A Marketing design subscription sitting outside your branding provider is how logo variants go missing.

Pricing compared

Creative Assist is $699 per month, flat, for US and UK clients, covering branding, presentations and the Marketing design subscription work in one plan.

OptionStarting monthly price (2026)
Penji$499
ManyPixels$699
PitchWorx Creative Assist$699
Flocksy$1,199
Kimp (Graphics)$1,397
Supersideabout $5,000
US in-house designer$5,000+ (over $60,000 a year before benefits)

Teams needing more output move to a custom plan, which adds active slots, a dedicated designer, multi-brand workflows and larger video or web production. Ownership terms are identical on both plans.

Case study

PitchWorx's published results include a Boston medical device manufacturer that recorded a 41% increase in sales conversion rate after new product presentations, and a New York investment firm reporting client retention up 28% after redesigning its quarterly review decks. A 22-slide Series A deck rebuilt with a clear hook, evidence and ask closed its round within nine weeks.

In each case the client held the editable files afterwards, which makes the next switch a non-event.

Market growth and the PitchWorx vision

Mordor Intelligence values the global graphic design market at $59.29 billion in 2026, rising to $85.53 billion by 2031, a 7.6% annual growth rate, crediting AI-assisted production for making flat-fee plans viable.

PitchWorx runs its subscription and custom model across the USA, UK, UAE and India. The vision is simple: one design partner, one flat price, files the client owns outright, so an unlimited design subscription never becomes a hostage situation.

FAQs

What should I collect before cancelling?

Editable source files, the full logo variant set, a written brand specification, and font and stock licence documentation, all while the account is still active.

Do I own the files my design subscription produced?

Only if the agreement says so in writing. Check for a copyright assignment and confirm editable source files are included, not just exported PDFs.

Do fonts transfer when I switch providers?

No. A font licence covers the licence holder's use. Buy it in your own name, move to an open-licence typeface, or outline the logo.

How long should I overlap old and new providers?

Thirty days. One extra month buys you a reachable contact if a file is missing.

Will a new provider rebuild my brand system?

PitchWorx does this in onboarding week from whatever you migrated. A complete checklist makes that rebuild faster, which is the real reason to run this unlimited design subscription handover properly.
